AI & automation

The quote request has arrived. How long until the team can assess it?

How AI can prepare a verifiable B2B brief while commercial decisions remain with the team.

A request becomes usable when the team can identify the need, requirements, missing information and owner of the next step. AI can help prepare that brief, while rules and team review determine whether the information is sufficient for assessment. Producing a summary is one stage of the process.

In B2B, a customer may send an email, a document and a spreadsheet that complement or contradict one another. Some time before quoting is spent locating and organizing information. It is worth understanding how much before choosing a solution.

Which information needs to be complete?

That depends on the service and commercial stage. An initial conversation may need only the problem, location and intended timing. A firm quote may require measurements, configurations, quantities and technical validation.

We would separate those thresholds. A question is useful when its answer changes the assessment or next step. Asking everything immediately can transfer work to the customer that should be organized together.

How can AI help?

It can propose extracting information from varied text, organizing it and listing clarifications. The brief should retain a link to the message or document supporting each important fact. The team needs access to the original and a way to correct the interpretation.

An empty field describes the process as it stands. Filling it with an assumption makes the brief look complete, but may cause the quote to rely on a requirement the customer never stated.

An example with conflicting sources

In a fictional scenario, the message requests equipment for two areas. The attachment describes three, with one width missing. The request says “by the end of next month” without an explicit date in the document.

A useful brief would preserve the conflict, flag the missing measurement and ask for date confirmation. It could prepare a single clarification message for review. It would not select two areas arbitrarily or turn the desired date into a delivery commitment.

What remains with the sales and technical teams?

Feasibility, final pricing and commercial exceptions need accountable owners. Even when a calculation is automated, its rules and inputs need validation and agreed boundaries.

The customer should understand the difference between an indicative estimate and an approved quote. A polished document can create expectations before checks are complete. The interface and wording should reflect the actual status.

How do we measure time saved?

We separate preparation, review, clarification and quoting time. We also count corrections discovered later. Ten minutes saved on copying may be lost to an omission that requires the quote to be rebuilt.

Compare requests of similar complexity. A complete standard-service inquiry and a project with conflicting documents require different amounts of work. Those differences should be identified before calculating an average.

What is a suitable starting point?

Choose one request category and an authorized set of examples. Define fields, sources, clarification conditions and who accepts the brief. First test preparation alongside the existing process, keeping unreviewed outputs out of external communication.

Once quality is checked, the stage can be connected to CRM and assignment rules. Duplicate requests should be recognized, and failed transfers should be recoverable without losing information. The team also needs a straightforward manual route.
