Customer relationships

Email marketing starts before you press “Send.”

A direct channel needs a reason to subscribe, messages worth reading and a clear place in the customer relationship.

“We have a database. What should we send them?” It is a common question, but an earlier decision is missing.

  • Who are these people?
  • What did they ask to receive?
  • What relationship do they have with the business, and what has changed since the last interaction?

A person who downloaded a guide, a first-time buyer and a regular customer may all appear as contact records. They have different reasons to open a message.

Email strategy links the recipient’s needs to the business objective, the available data and the conditions of communication.

Email can do more than deliver the weekly offer

Email can help someone understand a service, compare options, prepare for a conversation or use a product. It can support a commercial offer or a return visit when the situation and contact rules allow.

A newsletter is usually an editorial or commercial communication sent to a selected audience at a chosen time. An automated flow starts from conditions and events. Transactional messages have a different main purpose, such as confirmation or information about the delivery.

These categories require coordination. A transactional email does not become a free space for any promotion just because the person needs to receive it. The purpose, content and applicable rules are evaluated together.

Same channel, different questions

Same channel, different questions
RelationshipPossible questionEditorial or commercial role
Subscriber still exploringIs the offer relevant to me?Examples and evaluation criteria
Prospect comparing optionsWhat does working together involve?Processes, evidence and limits
First-time customerWhat is next and how do I use the product?Useful experience-related information
Repeat customerWhat is worth considering now?Availability and relevant options
Inactive customerIs there another good reason to come back?Reintroducing an offer when it makes sense

These are possibilities, not an obligation to send each group a fixed sequence. For some businesses, a few well-chosen messages are enough. Others have several situations that justify different messages.

Email can support different stages of the relationship.

Not every situation requires a separate sequence.

  • EXPLORATION

Examples that help people recognize a need.

  • ASSESSMENT

    Relevant processes, conditions and evidence.

  • FIRST EXPERIENCE

Information that helps customers use the product and take the next step.

  • RETURN

An appropriate reason, under applicable contact conditions.

Illustrative framework. Application depends on the project’s context and data.

Email can support exploration, evaluation, first use and repeat purchase. Choose its role according to the relationship and the conditions for contact.

Signing up creates an expectation

“Subscribe to our newsletter” says little about the benefit. Explain what information you send and whom it helps, without promising a frequency the team cannot maintain.

A fictional B2B provider might say: “Receive practical explanations of how to choose and implement order-management systems.” That gives someone a clearer reason to subscribe than “Get our latest news.”

Content offered in exchange for a signup needs real value and an accurate description. Downloading it does not show that someone is ready for a sales meeting. The next step should reflect the intent expressed and the contact rules.

Permission and preferences are part of the strategy

For Romanian commercial messages, assess the applicable framework, including Article 12 of Law 506/2004. The existing-customer exception concerns similar products or services and has conditions around obtaining the address and allowing objections. It is not general authorization. ANSPDCP clarification

Evidence of a purchase is different from permission to send a particular campaign. Record preferences and apply withdrawals or objections in the relevant systems. Someone who unsubscribes from marketing may still need order information; classify those messages correctly.

Clear choices also create a more transparent relationship. Making unsubscribe difficult does not make the content more relevant.

What we write when we don’t have a discount

A store can explain the difference between two materials, a condition of compatibility or a frequent maintenance error. A service provider can show which information changes an estimate or what switching from one solution to another involves.

The content should relate to the offer and be something the business can stand behind. If we want a request for advice, the email can clarify the issue that is worth discussing and what information would help the conversation. There is no need to squeeze an offer into every paragraph.

A good subject announces a real reason for reading. The preheader can complete it. In the body, a clear hierarchy helps the reader understand the idea and the next step. If the email promises a comparison, the landing page must deliver the comparison.

Personalization goes beyond a first name

Relevant personalization can mean a different example, product category or timing. There is no need to show recipients everything the system knows about them.

Fictional example: a customer bought a filter for a specific device. A later message could explain maintenance, if the information and contact conditions allow it. Do not recommend an incompatible model simply because it is discounted.

Caution also matters when the data is incomplete. If we don’t know the version purchased or the order has been returned, a very specific recommendation may be wrong. Sometimes a more general message, well chosen, is more appropriate than personalization based on an assumption.

How email connects with retargeting

Email and advertising can support the same idea in different contexts. An explanatory article can be sent to eligible subscribers and can serve as a destination in a relevant campaign. We do not assume that both channels reach exactly the same people.

An email contact does not automatically become an eligible advertising audience member. Services such as Customer Match have their own policy and consent requirements. Customer Match usage policy

Same idea, in different contexts.

Coordination does not require perfect coverage or identification.

  • EMAIL

Introduce a relevant question for eligible subscribers.

  • PAGE

Provide the promised explanation and a clear next step.

  • AD

Support discovery or a relevant return.

Illustrative framework. Application depends on the project’s context and data.

Example of coordination: the email explains, the page provides details, the ad can remind. This does not require identifying people or perfect coverage across channels.

We also coordinate the moments when communication should change: a confirmed order, an inquiry picked up by sales, a return or a changed preference. The aim is not to surround the person with the same message, but to keep the conversation relevant.

How often, and how we know whether it helps

The frequency depends on the promise made, the usefulness of the content, the product cycle and other messages that the person receives from the business. There is no universal cadence that guarantees results.

Assess delivery, meaningful actions, unsubscribes and commercial results. Privacy features and automated systems can affect opens and clicks. We explain the limitation in Who actually receives your newsletter?

Revenue attributed to email needs to be read together with the attribution rules. If the person would have bought anyway, attribution does not prove incremental value. Where volume and conditions allow, comparison with a well-chosen control group can help, without stopping the messages needed for the service.

How we work at NOT MORE.

We define email’s role in relation to the audience, then connect the content to segments, data and implementation. We choose what is worth sending as a newsletter, what can be automated and what needs a human conversation.

The value lies in the decisions, not the number of messages: who receives them, why, when, where they lead and how their contribution is assessed.

From email strategy to sending and evaluation

NOT MORE. can take on the strategy, content, design, configuration, automations and sending of agreed communications. We define segments, the purpose of each message and the conditions that start or stop it, then test the implementation. We can also deliver a single component when the team already covers the rest.

The client validates the offer, information and use of the contact list. Ongoing management can include monitoring delivery and errors, analyzing responses and adjusting messages. The report explains what we changed and why, in relation to email’s role in the relationship and the limits of the available data.
