HOW WE WOULD / 13 · AI / REAL ESTATEFictional scenario. No client data

From the first question to a well-prepared viewing.

An AI assistant could help a prospective buyer clarify their needs, explore verified information and prepare for the next conversation.

Qualified leadsPhysical visits
01 / THE SITUATION

What happens to the questions that arrive after hours?

Someone discovers the development after the sales office has closed. They want to know whether a particular layout is available and when they could visit. A form captures their details, but their questions remain unanswered. The assistant’s usefulness depends on the connection between inventory, scheduling and the people who follow through.

The scenario
A conceptual scenario for a residential developer. The company, messages and demonstration data are fictional. This is not a completed client implementation or a claim of results.
What we assume
A working website, an inventory that can be maintained and a sales team with defined availability. Discovery would need to confirm those conditions.
The boundary
Negotiation, exceptional pricing, financing promises and contractual reservations remain with authorized people.
02 / WHAT WE WOULD CHECK

Start with the questions that matter.

Working hypotheses

01

Questions go unanswered

The visitor leaves their details in a form, but cannot find out whether the layout exists or when they could visit.

WHAT WE WOULD TESTA more useful initial conversation, with direct access to the offer and a consultant, without making public information depend on completing every sales field.

02

Availability is mistaken for a reservation

Listed as available, a proposed time and a reservation under an agreement are different states.

WHAT WE WOULD TESTConfirmation appears only after the calendar records the action. Otherwise, the inquiry is recorded with the correct status.

03

The consultant starts from scratch

Context is lost between the first question and the conversation with the team.

WHAT WE WOULD TESTA complete handover that could reduce repeated preparation and help people arrive better informed.

The evidence we would need

Actual questions

The questions received, the distinction between an inquiry and an attended viewing, time to a meaningful conversation and why inquiries lose momentum. We would speak with the people handling them, including the questions buyers ask after seeing a floor plan.

The inventory source

The inventory source, how prices are presented and what each status means. If conflicting documents hold the information, resolving that inconsistency comes first.

Calendar and owners

The calendar would need to reflect actual capacity, and every inquiry would need an owner.

WORKING IDEA / A CONVERSATION THAT PREPARES THE VIEWING

The question gets an answer. The viewing gets a real confirmation.

CREATIVE PROPOSAL / ILLUSTRATIVE EXAMPLE
03 / THE CREATIVE IDEA

How the idea could take shape.

We would use AI to interpret questions written in everyday language, explain differences supported by approved information and prepare a summary. Explicit filters, slot checks and duplicate prevention would follow controlled application rules. The interface would identify itself as an AI assistant and would not infer a person’s finances or eligibility from their name, language or other indirect clues.

01 / THE VISITOR

“I’m looking for a two-bedroom apartment and would like to visit on Saturday. Do any have a terrace?”

The assistant asks whether the visitor would prefer to explore the layouts first or also look at viewing times.

02 / THE AI ASSISTANT

“I’ve left the budget unspecified.”

It shows two options with terraces, with different sizes and orientations, and explains that availability for one needs to be reconfirmed by the team.

03 / THE NEXT STEP

The exchange does not automatically become a confirmed viewing.

If the visitor chooses a slot, the system verifies and records it before displaying confirmation. In the demonstration, every state is simulated and labeled.

04 / WHAT WE BUILD

From an idea to an experience that works.

What the project would deliver

01

Journey and rules

We would define the journey, fields and rules, then build the conversational interface, approved content and required connections.

02

Difficult states

We would cover a catalog outage, a slot that becomes unavailable and an absent owner. When availability cannot be verified, the response would explain that limitation and offer a route to the team.

03

The handover view

Confirmed preferences, discussed options, open questions, appointment status and the responsible person. The team could inspect the source and correct the summary.

ON THE WORKTABLE / THE JOURNEY

The journey we would build.

Every stage has an experience for the visitor and a requirement for the process.

Conceptual scenario. Fictional data.

EXPLORE THE PROCESS, STEP BY STEP

What happens when…

A viewing accurately requested or confirmed.

Demonstration. Fictional data. Simulated actions. Scripted responses, with no connected AI, personal data, or real operations.

01 / WHAT WE CAN CHECK

Property catalog

Records available in the fictional catalog.

A3012 bedrooms · With terrace
A4022 bedrooms · No terrace
Budget
Not provided by the visitor
Calendar
Simulated, Europe/Bucharest

Fictional data from October 8, 2026. This is not current inventory or appointment availability.

02 / WHAT HAPPENS NEXT

From information to action

FICTIONAL VISITOR

I’m looking for a two-bedroom apartment with a terrace. Can I visit on Saturday?

Sources and question

Choose a situation and follow what the system can verify, what stays unknown, and when a person needs to step in.

Choosing another situation restarts the demonstration.

05 / HOW WE MEASURE

Measure the objective, one step at a time.

Time to a useful response
Measured separately from the number of conversations.
Appointments and viewings
Appointment requests, confirmed appointments and attended viewings, tracked separately. Recording an inquiry is not reported as successful contact or an attended viewing.
Errors and corrections
Stale recommendations, duplicate bookings, corrections and requests for human contact.
Total sales handling time
Preparation, review and follow-through, compared with the current process.

Comparisons would account for source, opening hours, inquiry type and time to a decision. More conversations would not establish more sales on their own.

LIMITS / BEFORE WE COMMIT

What we would hold back, and what would change the plan.

What we would not do yet

  • Price negotiation or commercial exceptions made by the assistant.
  • Contractual reservations, or promises about financing or credit approval.
  • Making public information depend on completing every sales field.

What would change our mind?

If most visitors find the answer more easily in a comparison table and a simple calendar, those features may meet the need. If inventory cannot be maintained, the assistant could focus on clarification and handover without automatically matching available units.

The working sequence

First understand. Then test and adapt.

01 / UNDERSTAND

Questions, sources and statuses

Review actual questions, the inventory source and what each status means.

02 / BUILD

One bounded journey

Interface, approved content, connections and the handover view, including failure states.

03 / EXPAND

Only after agreed criteria

Expand after quality and operation meet the agreed criteria.

An illustrative sequence; timing and investment follow the real context.
